Administrative Assistant

The Administrative Assistant supports and contributes to the smooth operation of the Newfoundland & Labrador Federation of Agriculture (NLFA). The position reports directly to the General Manager. GENERAL RESPONSIBILITIES

Document Support and Dissemination:

  • Ensures that working and meeting files are maintained appropriately

  • Preparation of meeting materials for the President and General Manager as required

  • Ensures that incoming documents are distributed to the President, General Manger, and staff as required

  • Distributes documents to other departments, members, government and their agencies, other stakeholders and clients, the media and public as directed by the General Manager

  • Data entry as required


Stakeholder Engagement:

  • Coordination of conference calls and other meetings as required, such as Zoom, Microsoft Teams and in-persons

  • Production of the Annual General Meeting and assist with planning

  • Prepare agendas, minutes and other documents for distribution (Executive Committee, Board of Directors and Annual General Meeting)

  • Preparation of Annual General Meeting materials and planning

  • Assist with meeting outreach and registration, where required

  • Coordinate travel arrangements, accommodations, meeting space for Executive Members, Board of Directors, Members and/or Staff meetings and conferences as required

  • Plan and negotiate contracts with suppliers where required


Other:

  • Liaise with the other NLFA Member offices as required

  • Responds to routine information requests and direct calls to the appropriate personnel

  • Manages routine messages for the General Manager

  • Communicates with other NLFA staff members, Board Members, etc., either in writing or verbally on behalf of the General Manager as required.

  • Other duties as required by the General Manager, NLFA Staff and/or members of the Board of Directors


Professional Qualifications Required:

  • A diploma in Office Administration, Business Administration and/or applicable experience.

  • Strong proficiency in MS Office programs

  • Able to work independently and meet deadlines

  • High level of diplomacy and strong communication skills

  • Excellent time management, organizational, and communications skills

  • Strong work ethic with a high degree of energy

  • All applicants must be legally entitled to work in Canada

  • Travel maybe required – Must have valid driver’s license

Compensation and other details

Job Type: Full-Time


Salary: $42,000 - $48,000 per year


Vacation: 2 weeks annual paid vacation plus paid public holidays


Hours: 37.5 hrs

Location and Environment: Corner Brook, NL


Expected Start Date: As soon as possible
